Hi Priya, thanks for the time. I'm here to understand how the finance side of Freshly Pressed actually flows day-to-day. Could you walk me through what the start of your week typically looks like?

Mondays are reconciliation day. I export the previous week's payouts from Shopify Payments, the wholesale invoices from Xero, and the bank feed from CommBank. Then I sit down with three browser tabs and a calculator and match every payout to its corresponding invoice. It takes most of the day if there are no surprises.

A full day every Monday is significant. What kinds of surprises throw it off, and how often does that happen?

Refunds throw it off the most. James will refund a customer in Stripe and I won't see it on the Xero side until I do the reconciliation, so the numbers are off and I have to hunt for the matching transaction. Probably 5-8 mismatches every week. Each one takes 15-20 minutes to track down.

So the lack of visibility between James's refund actions and your reconciliation is creating real rework. Outside of Mondays, what does the rest of your week look like?

Tuesday and Wednesday I send out wholesale invoices in Xero — Sarah gives me the order list and I create them. Thursday I chase late payers via email. Then end of month is brutal: I close the books, do the BAS, prepare the P&L for Marcus by combining Shopify, Xero, Stripe, and the bank statements. End-of-month week I'm usually working until 9pm every night.

End of month sounds like the highest-pressure point. How do the four data sources actually come together — is it copy-paste, formulas, manual adjustments?

All copy-paste into a master Google Sheet that I built three years ago when we were a third the size. I tweak it every month. End of month is a nightmare week for me — I dread it. And if Marcus asks a question about a number, I have to dig back through the source CSVs because the working file is one big mess.
